Automating class passes for academies and studios

Issue passes, deduct on booking or check-in, restore on cancellation or absence — plus QR, self, and proxy check-in and automatic absence notices.

In small academies, yoga and pilates studios, and independent classes, the time that leaks isn't teaching — it's managing class passes. Writing remaining sessions in a ledger, deciding whether an absence counts, recalculating when someone asks for a refund. E:DA's passes automate that arithmetic.

How passes work

  • The organizer issues a pass to each member (for example, a 10-session pass).
  • When a member books or checks in to a class (event), one session is deducted automatically.
  • If the booking is cancelled, or the attendance status changes to absent / excused, the deduction is restored automatically.
  • The same booking or check-in is never deducted twice (duplicate-deduction protection).
  • Members get a notification when they're running low.

Pick any of three ways to check in

  1. Self check-in — when class starts, students check in from the app or web.
  2. QR check-in — students scan a QR code issued by the organizer. Handy at the front desk or studio entrance.
  3. Proxy check-in — if a student left their phone behind, the organizer checks them in.

Whichever you use, the result is the same attendance record, and pass deduction is handled identically.

Absence notices and reminders

Pre-class reminders and absence notices go out automatically — no more sending "class today!" texts one by one.

What the dashboard shows

Attendance rate per student, participation trends per period, and remaining passes on one screen. When a parent asks "how many times this month?", you answer from the record, not from memory.

Getting started

Create a group (category: academy / class), register the class schedule as events, bring students in with an invite link, and issue passes. Students don't need to install the app — everything works on the web too.
