Club handovers that keep the records
Make the club a single group where attendance, notices, photos, and polls accumulate — with approval-based invites, challenges, and a handover checklist.
· five:hours
The thing clubs lose most often isn't money or members — it's records. When the cohort turns over, last year's attendance, notices, and photos stay on the former president's phone and in an old group chat, and the new team starts from scratch. Here's how to turn the handover from a single document into a space that simply keeps going.
1. Make the club a single group
Create the club as a group in E:DA and attendance, notices, photos, polls, and the member list accumulate in one place. When the president changes, the group stays; hand the admin role to the new team and the handover is done.
2. Regular meetings as events, attendance in one tap
Register regular meetings as recurring events: reminders go out automatically before each one, and members check in with a single tap at start time. Attendance is recorded as present / late / absent / excused, and the stats aggregate on their own.
3. New members via invite link + approval
During recruiting, paste the invite link into social posts and notices; with approval turned on, the team reviews requests before admitting anyone. Public groups also get a public profile page you can use as the club's intro link.
4. Notices, photos, and polls go in the feed
Retreat-date polls, activity photos, and meeting outcomes posted to the group feed stay visible to the next cohort. Keep the chat for conversation and the feed for the record.
5. Make participation fun: challenges
Set a semester attendance challenge and members who reach the goal receive a trophy — leading with achievement rather than penalties.
Handover checklist
- Assign the new team as admins
- Register next semester's regular meetings
- Check the invite link and approval setting
- Review last semester's attendance stats together once
